Terms and Conditions
Effective October 22, 2026. These terms govern use of the VirtualER X-System application ("X-System" or "the Platform") provided by International Medical Direction LLC ("IMD", "we", "us") using software owned by Virtual ER Network LLC, including the Virtual ER Network text-message program. By signing in or receiving our messages, you agree to them.
Who May Use the Platform
The Platform is for authorized personnel of International Medical Direction LLC (IMD), EMS agencies, hospitals and other organizations that have an agreement with us ("Customer Organizations"). Your access depends on your organization, role and those agreements. Use by Customer Organizations is also governed by their agreements with us and by the VirtualER User Agreement. If those conflict with these terms, the agreements control.
Your Account
- Keep your sign-in details and authenticator app secure, and do not share your account.
- Keep your profile, including your mobile number, accurate.
- Tell us or your administrator right away if you suspect unauthorized use.
Acceptable Use
Use the Platform only for your organization's authorized work and in line with the law, including patient-privacy law. Do not access records you are not authorized to see, try to get around security, interfere with the Platform, or copy, resell or reverse-engineer it.
Clinical Use
The Platform supports, and does not replace, professional medical judgment, protocols, medical direction, licensure or your organization's communication procedures.
An EcN is a courtesy notice that a patient is on the way. It is not a transfer of care or a patient report. The EMS crew remains responsible for giving a bedside report to a registered nurse or physician when the patient arrives. In many states an electronic notification meets the pre-notification requirement; crews follow their state rules, local protocols and medical direction. Messages can be delayed or not delivered, and the crew's confirmation shows how many people were alerted. In an emergency, call 911.
Virtual ER Network (Text Messages)
- What it is: International Medical Direction LLC's Electronic Courtesy Notifications (EcN). An EMS crew uses X-System to tell a receiving hospital that a patient is on the way; the hospital's staff and teams get a text, and the crew gets a confirmation. Replies about alert settings are also sent.
- Who receives it: only people whose mobile number is in their Platform profile, added by them or by their organization's administrator with their consent, and whose alerts are switched on.
- Frequency: varies with patient volume.
- Cost: message and data rates may apply.
- Help: reply HELP, call (855) 362-4367, or email tech@imdems.com.
- Stop: reply STOP at any time to stop all texts; you will get one confirmation. Reply START to receive them again. You can also turn your alerts off in your profile or by replying OFF with your PIN.
- Content: texts carry limited information and never a patient's name. Links open only after sign-in.
- Carriers are not liable for delayed or undelivered messages.
- Mobile information is never shared with third parties or affiliates for marketing or promotional purposes. See the Privacy Policy.
Ownership
Virtual ER Network LLC owns the Platform and its software, design and content. Customer Organizations keep ownership of the data they enter, which we handle as described in our agreements with them and the Privacy Policy.
Third-Party Services
The Platform relies on third-party services such as hosting, messaging, document signing and mapping. Their availability is outside our control.
Disclaimers and Liability
Except as stated in a written agreement with your organization, the Platform is provided "as is" and "as available", without warranties of any kind, and we do not guarantee that it or any message will be uninterrupted, timely or error-free. To the extent the law allows, neither IMD nor Virtual ER Network LLC is liable for indirect, incidental, special or consequential damages arising from use of the Platform or its messages.
Suspension and Termination
We or your organization may suspend or end your access, for example when your role ends or these terms are broken.
Governing Law, Changes and Contact
These terms are governed by the laws of the State of Arizona. We will post any change on this page with a new effective date; continued use means you accept it.
